Short answer

An answering service uses live people who take messages. An AI receptionist answers instantly, 24/7, can book appointments on your calendar and texts back missed calls. Choose a live service if most of your calls need human judgment. Choose AI if most calls are the same questions and booking requests. Many small businesses do best with AI first and a person as backup.

What each one does

A live answering service is a team of operators who answer your calls with a script. They take a message, and sometimes they book an appointment or patch an urgent call through to you. They usually charge by the minute or by the call.

An AI receptionist is software that answers your phone with a natural-sounding voice. It knows your hours, services and common answers. It can book straight onto your calendar, text the caller a link and send you a summary of every call.

How to choose

Pull up your call log and sort your calls into three groups:

  1. Same questions. Hours, location, prices, "do you do X?"
  2. Booking requests. "Can someone come out Tuesday?"
  3. Judgment calls. Complaints, emergencies, complex quotes.

If groups 1 and 2 are most of your calls, an AI receptionist will handle them faster and around the clock. If group 3 is most of your calls, a live service or a real hire is the better fit.

Most of the small businesses we work with around DC, Maryland and Virginia land in the middle. The best setup there is AI first, with a clear handoff to you for anything it shouldn't handle. The caller always gets an answer, and you only get the calls that need you.

What a good AI setup looks like

  • It says it's an automated assistant.
  • It answers in your business's name and knows your real hours, services and service area.
  • It books into your actual calendar, not a separate one.
  • It texts back anyone who hangs up.
  • It sends you a short summary after every call.
  • It knows when to stop and hand the call to a person.
  • Someone checks the calls each month and tunes the answers.

That last point matters most. Software you set up once and forget will drift. The AI Front Desk is built and managed for you by our team in Washington, DC, and we tune it every month.

Common questions

Is an AI receptionist cheaper than an answering service?

Often, if you get a lot of calls. Answering services usually charge per minute or per call, so busy months cost more. AI receptionists are usually a flat monthly fee. Compare both against your real call volume.

Can an AI receptionist book appointments?

Yes. A good one books straight onto your real calendar and texts the caller a confirmation.

What happens if a caller wants a real person?

A good setup hands the call off. It can transfer the call, take a message for a quick callback, or text you right away.

Can I use both?

Yes. Some businesses let AI answer first and send overflow or urgent calls to a live service or a team member.
